The day-before checklist for your QR seating plan
1. Do a real phone test
Scan your QR code with a phone that has never opened the link before, on mobile data rather than your home Wi-Fi. Search for a guest you know is on table one and check the welcome message reads the way you want.
2. Sweep the guest list one last time
Drop-outs, late RSVPs and swapped tables all happen in the final 48 hours. Open your private dashboard and update them — changes appear instantly for guests, no reprinting needed.
3. Print big enough
An A2 or A1 foam board at the entrance works best. The QR code itself should be at least 10cm across so it scans from arm's length, and leave clear white space around it. Add one short line of instruction: "Scan to find your table."
4. Place it where people slow down
Next to the welcome drinks or the guest book, not in the doorway where a queue forms. Two smaller signs beat one giant one if guests arrive through different entrances.
5. Brief one person
Tell an usher or your planner how it works and give them the link on their own phone. If someone's name isn't found, they can look it up in seconds.
